5/16/2016 University Athletic Association Soccer Club Captain: K’s Story
We talked to Captain K about using TimeTree as a shared schedule for his club activities.
First of all, please tell us about the soccer club you captain.
The soccer club belongs to the university athletic association, and it has 33 members: 30 players and 3 managers.
An athletic association must have a lot of plans for things like matches and training camps.
That’s right. I was having a hard time not only telling members basic things like where the match is or when practice is, but also confirming attendance and communicating important information, which caused a lot of stress for me. I tried all sorts of web-based and smartphone app tools, but none of them completely fit our needs. I was looking for something that was right for us when I discovered TimeTree.
What in particular is it about TimeTree that matches your needs?
The ability to share plans with the team, and the ability to set the timing for notification settings very precisely, from 5 minutes to 1 day in advance, etc. Also, you can see a record of who made updates, and anyone can make updates.
Have you come up with any tricks for using TimeTree?
I color code plans by the level of importance. I use blue-green for the fixed weekly practices and matches, but I use red for times when the schedule is different that usual or for important things like welcome parties for new students to make them stand out. Also, I use green for the club members’ birthdays.
Color coding seems like it would stop you from overlooking something by accident. Have you come up with any other tricks?
We have a victory party to celebrate winning a match, and we always use a heart symbol to RSVP for the party. It’s nice to be able to tell how many people are coming instantly from the number of people next to the symbol.
There are some clubs and circles that write if they are attending or not in the comment box, but with the heart symbol, it shows the number of attendees, so it also makes booking the venue go more smoothly.
Also, in addition to attendance for victory parties, I also have them tap the heart symbol when they check other plans, so I can confirm that they know about them.
Checking that each and every member has seen the plans you entered must be a lot of work. Finally, please tell us about your soccer club’s goals for the future.
We want to be promoted to a higher league. To do that, you need to win every match in the previous season.
